Cancellations more than 30 days out usually incur a small admin fee; within 30 days, supplier penalties apply and refunds decrease as the start date nears. No-shows are non-refundable. Terms & Conditions — Chiang Mai 3 Days 2 Nights Mini Break

These Terms & Conditions (“Terms”) govern bookings for the Chiang Mai 3 Days 2 Nights tour operated by Wadstars (“we,” “us,” “our”). By paying a deposit or confirming a reservation, the guest (“you,” “traveler,” “party”) accepts these Terms.

1) What’s Included

  • Round-trip airport transfers (Chiang Mai Intl. Airport ⇄ hotel)
  • 2 nights’ hotel accommodation with daily breakfast (standard room, twin/double)
  • 1 guided half-day tour (choose: City Temples & Doi Suthep / Handicraft Villages / Arts & Galleries)
  • English-speaking guide for the selected half-day tour
  • All local taxes on included services, where applicable

2) Not Included

  • International/domestic flights and visas
  • Travel insurance (mandatory; see Section 12)
  • Lunches, dinners, drinks, and personal expenses
  • Hotel incidentals, mini-bar, laundry, and room service
  • Optional activities, entrance fees not specified as included, and guide/driver gratuities
  • Early check-in/late check-out (subject to availability & surcharge)

3) Booking, Deposit & Balance

  • Deposit: 30% of the total package cost at booking to secure services.
  • Balance: Due no later than 14 days before Day 1 of the tour.
  • For bookings made ≤14 days before start: full payment is required at the time of booking.
  • Unpaid balances by the due date may result in automatic cancellation (see Section 6 for fees).

4) Pricing & Currency

  • Prices are quoted per person, based on double/twin share, in THB (or equivalent as stated on your invoice).
  • Exchange-rate fluctuations and supplier changes may affect pricing until your booking is fully paid and confirmed.
  • Local taxes/fees introduced after confirmation are outside our control and may be passed on at cost.

5) Traveler Details & Documents

  • Please provide full names (as per passport), arrival flight details, and contact information at booking.
  • We will issue a written confirmation/invoice and a final service voucher after full payment.
  • It is your responsibility to hold valid passports/visas and comply with Thai entry and health requirements.

6) Cancellations & Refunds — By You

  • 31+ days before start: refund of payments received minus a 10% admin/processing fee and any non-refundable supplier charges.
  • 15–30 days before start: 50% of total tour price is refundable (plus any unrecoverable supplier penalties deducted).
  • 8–14 days before start: 25% refundable (supplier penalties may further reduce refund).
  • 0–7 days before start or no-show: no refund.
  • Partially used services, late arrivals, and unused inclusions are non-refundable.
  • All cancellations must be received in writing at hello@wadstars.com.

7) Changes — By You

  • Change requests (dates, names, hotel category, tour option) are subject to availability and a change fee from THB 1,000 per booking, plus any supplier fees/price differences.
  • Changes within 7 days of arrival are usually treated as cancellation + rebooking by suppliers.

8) Changes & Cancellations — By Us

  • We may modify the itinerary/hotels for safety, weather, or operational reasons. We will offer a comparable alternative where reasonably possible.
  • If a material component must be cancelled by us and no reasonable alternative is available, we will refund the affected component’s value. This is our maximum liability (see Section 16).

9) Hotels, Rooms & Check-in

  • Named hotels are indicative; equal or higher standard alternatives may be used.
  • Standard check-in: ~14:00–15:00; check-out: ~11:00–12:00 (hotel policy prevails).
  • Triple rooms may use a rollaway/sofa bed. Specific bedding types are “on request” and not guaranteed.
  • Child policies, extra beds, and baby cots vary by property and must be requested in advance.

10) Pick-ups, Transport & Delays

  • Airport pick-ups require your final flight details at least 72 hours prior. Late-provided or changed details may affect service.
  • Please be ready in the lobby 10 minutes before pick-up. Delays over 15 minutes may shorten the tour without refund.
  • Traffic, weather, and local conditions can affect timings; we are not liable for missed activities due to external delays, but we will act reasonably to assist.

11) Health, Fitness & Conduct

  • You are responsible for assessing your fitness for walking tours and temple steps. Inform us of medical conditions/allergies in advance.
  • Dress modestly for temples (shoulders/knees covered); remove shoes where required; follow guide and signage.
  • We may refuse participation if a traveler’s behavior poses risk, causes disturbance, or breaches local laws/customs. No refunds apply in such cases.

12) Travel Insurance (Mandatory)

  • Comprehensive travel insurance is required, covering medical expenses, personal liability, trip cancellation/curtailment, and baggage. Bring proof of cover.
  • Adventure/optional add-ons you choose (e.g., zip lines, rafting, motorbike rentals) must be covered by your policy; participation is at your own risk.

13) Force Majeure

We are not liable for failure or delay due to events beyond our reasonable control, including but not limited to: extreme weather, natural disasters, epidemics, governmental actions, civil unrest, strikes, or technical/operational issues of third parties. In such cases, refunds are limited to amounts recoverable from suppliers after reasonable efforts.

14) Special Requests & Dietary Needs

  • We will relay special requests (dietary, bedding, accessibility) to suppliers; fulfillment is not guaranteed.
  • Vegetarian/halal options are widely available in Chiang Mai; please advise preferences in advance.

15) Complaints & Support

  • If an issue arises on tour, notify your guide or our support immediately so we can help while you’re in-destination.
  • Post-tour feedback and claims must be sent in writing within 7 days to hello@wadstars.com with booking details and any evidence.

16) Liability

  • To the maximum extent permitted by law, our total aggregate liability is limited to the amount you paid for the affected services.
  • We are not liable for indirect, incidental, or consequential losses (e.g., missed flights, enjoyment, or profit), nor for acts/omissions of hotels, carriers, or other third-party suppliers.

17) Privacy & Media

  • We collect only necessary data to operate your booking. See our Privacy Policy for details.
  • By joining the tour, you consent to non-intrusive photography in group contexts. If you prefer not to appear in marketing materials, please inform your guide in writing at the start.

18) Governing Law & Jurisdiction

These Terms are governed by the laws of Thailand. The parties submit to the exclusive jurisdiction of the courts of Thailand. If your booking is made via an overseas reseller, additional terms of that reseller may apply.

19) Acceptance

By paying a deposit or confirming in writing, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
